REF 1642: Finance Officer (Inventory Reconciliation)
About Our Organisation

The Water Authority of Fiji is a corporate body established under the Water Authority of Fiji Act 2007 to make provision for the effective management and administration of the Water and the wastewater systems.

We are responsible for providing access to quality drinking water and wastewater services to over 159,000 and 33,540 residential and non-residential metered customers in the urban areas of Fiji and also setting up water supply systems in rural areas.

Position Objective

The Finance Officer Inventory Reconciliation will be responsible for ensuring compliance to the Inventory Reconciliation and Stocktake Policy, proper daily inventory data processing and serial control update, conduct spot checks and stocktakes, Assist Senior Finance Officer-Inventory Reconciliation in preparation of Inventory related reports. Maintenance of proper inventory related files for compliance and audit purposes. The incumbent reports directly to Senior Finance Officer-Inventory Reconciliation.

Key Accountabilities
  1. Effective and efficient management of the inventory usage
    • Thorough understanding of and full compliance to Standard Operating Procedures and policy(s) for recording of Inventory
      • Assist in development and update of inventory Reconciliation and Stocktake Policy.
      • Provide contribution to the superiors as and when SOP and/or process maps are developed or reviewed
    • Robust, accurate and timely record maintenance and inventory reconciliations delivered
      • To efficiently daily update the inventory documents in the Sage system. Compliance to Inventory Reconciliation and Stocktake Policy and SOPs
      • To maintain record of receipts as well as issuance, transfer & return of items that are going out of the warehouse so as to ensure accuracy and completeness of records.
      • Assist in quarterly stocktake for Stores Assist in half yearly stocktake for Treatment Plants and Pump Stations
      • Prepare Stocktake reports for Stores and Treatment Plants
      • Assist in Spot checks for Stores & Treatment Plants
      • Assist in various monthly Inventory Reconciliation to General Ledger
      • Assist in inventory dashboard reports
      • Assist in preparation of Power Bl reports for monthly financials.
      • Prepare inventory related reports as and when required.
      • Maintenance of proper inventory related files
      • Maintenance of designated Stores Serial Control Register
    • Timely and effective collaboration with Stores and Treatment plant team delivered to ensure business goals are met.
    • Efficiency improvements identified and reported to Senior Finance Officer-Inventory Reconciliation for consideration
  2. Timely, relevant and compliant reporting
    • All internal and external reporting requirements in regard to the inventory usage updated and management fully understood and correctly executed
      • Robust and relevant periodic reports prepared and submitted as and when requested. This includes any dally or monthly reports.
    • Ad-hoc information request by superiors addressed in a timely manner
  3. Teamwork and cooperation

    • Cooperation across functions/departments ensured
    • Collaboration and leadership to achieve relevant organisational targets and goals
    • Other related duties assigned by the Senior Finance Officer Inventory Reconciliation, Senior Accountant Capex and Manager Finance effectively and efficiently addressed

    • Organisational values and good corporate and governance practices are compiled with in delivering outcomes ensured
Qualification and Experience Requirement
  • Degree in Accounting and Finance with at least 2 years' experience in a similar role
    AND/OR
  • Diploma in Accounting and Finance, Inventory Management with at least 5 years 'experience in a similar role
Skills and Abilities
  • Good understanding of relevant accounting/financial concepts and procedures
  • Proficient in the use of and/or Microsoft Office Suite (Word, Excel etc.) and relevant Inventory software knowledge/experience
  • Good understanding of stock-take procedures and requirements.
  • Ability to analyse and recommend improvements within the inventory function.
  • Strong analytical and problem-solving skills
  • Ability to analyse large data sets
  • Proven ability to work independently and to prioritise work objectives to meet strict deadlines
